Privacy Policy

Hi! Auret & Jewel here. You trust us with your ideas, your footage, your channel and sometimes your next big launch, so we want you to know exactly how we take care of your information. We’ve written this in plain language, and if anything is unclear, ask us and we’ll answer.

Who we are

This policy is from Essetino Connexions, operating as Essetino Media (“Essetino Media,” “we,” “us” and “our”). We’re a digital media, YouTube strategy and channel management company based in British Columbia, Canada.

What this policy covers

This policy explains how we collect, use, share, store and protect personal information. Personal information means information about an identifiable individual, as defined under applicable privacy law.

It applies to information we collect through:

  • our website, essetinomedia.com
  • our newsletter on Substack (essetinomedia.substack.com) and our resource sites, including createprofitablecontent.com and theprofitablechannel.com.
  • our booking pages, forms and checkout pages
  • calls, email and messaging with prospects and clients
  • the services we deliver to clients, including the YouTube Strategy Session, YouTube Launchpad and YouTube Channel Management
  • events and networking where you share your details with us

Our sites may link to websites we don’t control. Their privacy practices are their own, so please read their policies before sharing your information with them.

What we collect and why

We collect only what we need to respond to you, deliver what you’ve bought and keep you informed. What we collect depends on how you connect with us.

Our payment processors handle your card and bank details directly.

We don’t use your information for purposes you wouldn’t reasonably expect. If we ever want to use it for a new purpose, we’ll ask first unless the law permits otherwise.

We will never sell or rent your personal information.

Calls, recordings and AI tools

We record and transcribe some Zoom calls when we need an accurate record, such as strategy sessions, kickoff calls, discovery calls, so we can stay fully present with you instead of taking notes. Not every call is recorded.

  • We use Zoom and Granola to create transcripts and summaries of our calls.
  • When a call is recorded, we’ll tell you at the start. If you’d rather it wasn’t, say so and we’ll turn it off.
  • Recordings and transcripts are used to prepare proposals, build your strategy, keep accurate notes and for improving services delivered.

Guest interviews and group webinars may be published on our YouTube channel and other platforms, and guests and speakers know this before we record. Private one-on-one calls with prospects and clients are never published.

We also use AI tools, including Claude and ChatGPT, to help with research, writing and planning. When we use these tools with client or prospect information, we:

  • share only what the task needs
  • use account settings that stop our inputs from being used to train the provider’s models
  • review every AI-assisted output ourselves before it reaches you

If you’re a client

When we build or run your channel, you share more with us than a website visitor does. We treat it with the same care we’d want for our own brand.

What we handle

  • Raw footage, recordings and images of you, including your likeness and voice
  • Your scripts, outlines, intake answers and brand materials
  • Access to your YouTube channel and its analytics
  • Results you share with us for reporting, such as opt-ins, calls booked or sales
  • Messages exchanged in Slack, WhatsApp and/or email and our review tools

Who on our team can access it

Only the people delivering your work. Our editors and designers work with your files, but they don’t get access to your YouTube channel. Our YouTube SEO specialist has channel access to manage titles, descriptions, tags and playlists, and only for that purpose. Any other access needs written approval from Auret.

Everyone who works with your materials is bound to keep them confidential.

Testimonials and case studies

We love sharing client wins. We’ll only publish your name, words, image or results with your permission, and you can ask us to remove them later. We’ll take them down from our website and channels within a reasonable time, though we can’t recall copies others have already shared.

The service providers we use

We use trusted providers to run our business, and they handle personal information on our behalf. We share only what each one needs, and we stay responsible for your information while they process it for us. Each provider’s own privacy policy also applies.

We may also disclose personal information when the law requires it, or to professional advisors such as our accountant or lawyer under confidentiality.

Where your information is stored

Many of our providers store data outside Canada, mostly in the United States. While your information is there, it’s subject to that country’s laws and may be accessed by its courts, law enforcement or national security authorities.

We choose providers with strong security practices and rely on their contractual commitments to protect your information. If you have questions about where a specific type of your information is stored, contact our privacy officer.

Cookies and analytics

Cookies are small files your browser stores when you visit a website. We use them to keep the site working, remember your choices, and understand how visitors use our pages so we can improve them.

We use:

  • Essential cookies that the site and our forms need to function
  • Analytics cookies from Google Analytics that show which pages are visited and for how long
  • Advertising cookies from Meta or others, only if a pixel is installed

You can block or delete cookies in your browser settings. Some parts of the site may not work as well without them.

Our site doesn’t currently respond to browser “Do Not Track” signals.

Our emails

We only add you to our email list when you sign up, download a resource, or buy from us, and we follow Canada’s Anti-Spam Legislation (CASL).

Every marketing email includes an unsubscribe link, and we honour unsubscribes promptly. You can also email support@essetinomedia.com to be removed. If you’re a client, we’ll still send the messages needed to deliver your services and manage your account.

How long we keep it

We keep personal information only as long as we need it for the purpose we collected it, or as long as the law requires. Then we securely delete it or make it anonymous.

Type of information How long we keep it
Newsletter subscribers Until you unsubscribe, plus a record of your unsubscribe
Inquiries and prospects who don’t become clients 2 years after our last contact
Call recordings and transcripts 12 months, or for the length of the engagement
Client footage and project files 12 months after the engagement ends
Financial and billing records As long as Canadian tax law requires

Text messages (SMS)

If you register for one of our events, some of our sign-up pages may ask whether you’d like to receive text messages from us. Texting is optional. We’ll only text you if you choose to opt in, give us your mobile number and check the SMS consent box. Our texts are mainly reminders and updates about events you’ve registered for. Consent to receive texts is never a condition of registering for an event or buying from us.

Message frequency varies by event. You’ll receive no more than 5 reminder texts leading up to each event you register for. You can opt out at any time by replying STOP.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted.

How we protect it

We use reasonable safeguards to protect your information from loss, theft and unauthorized access. These include:

  • a password manager for shared logins
  • access limited to the people who need it for their work
  • confidentiality commitments from our team and contractors
  • two-factor authentication on key accounts, if in place

No system is completely secure, so we can’t guarantee information sent over the internet won’t be intercepted. If a breach creates a real risk of significant harm to you, we’ll notify you and the relevant privacy commissioner as the law requires.

Your rights

You can ask us to:

  • tell you what personal information we hold about you and how we’ve used it
  • correct information that’s inaccurate or incomplete
  • delete your information, unless we need to keep it for legal or contractual reasons
  • withdraw your consent to how we use it

If you have any questions and/or requests on handling your personal information, email support@essetinomedia.com.

Concerns and complaints

If you’re unhappy with how we’ve handled your information, please email support@essetinomedia.com and we’ll work to make it right. If we can’t resolve it, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

If you’re under 19

Our services are for business owners and professionals. If you’re under 19, please don’t share personal information with us without a parent or guardian’s consent.

Changes to this policy

We’ll update this policy as our business and tools change, and we’ll post the new “Last updated” date at the top. If we make a significant change to how we use your information, we’ll let clients and subscribers know by email before it takes effect.

Governing law

This policy is governed by the laws of British Columbia and the federal laws of Canada that apply there. If a dispute arises, we agree to first try to resolve it with a mutually agreed mediator in British Columbia.

Thank you for trusting us with your story, your channel and business. We take that seriously.

Warmly,
